Privacy policy.

At Casas na Ferraria, we are committed to protecting the privacy and personal data of our guests. This Privacy Policy explains how we collect, use, and safeguard your information throughout the reservation process and your stay. Please note: For the purposes of this Privacy Policy, the name “Casas na Ferraria” refers to the accommodation project operated by the legal entity Monte na Ferraria, Lda.. All personal data collected in the context of bookings and stays is processed and safeguarded by Monte na Ferraria, Lda., the entity legally responsible for the management of the property and related services.

WHAT IS PERSONAL INFORMATION

Casas na Ferraria treats with profound respect and seriousness the safeguarding of its Guests privacy — about the Guest as an individual — such as name, birth country, address, age, gender, e-mail, telephone number, preferences and specific requests stated before, during or after the stay, including digital correspondence exchange. This data will be collected only with the Guest’s prior consent and processed in compliance with the European Union legislation on the General Data Protection Regulation.

WHY PERSONAL INFORMATION IS COLLECTED

Our mission is to present the Guest with a superior customer service. Personal information is collected to assist Casas na Ferraria in making a reservation for a Guest and aid in providing the services requested by the Guest. By keeping this data, Casas na Ferraria improves the service delivered to the Guest: every time there is a returning guest, it allows the Guest and Casas na Ferraria to confirm prior transactions and reconcile statements or invoices and helps keep the Guest informed of the latest offers or other information that may be of interest. If the Guest wishes not to receive information from Casas na Ferraria, that request can be made through the link provided in the newsletter or by e-mail to info@casanaferraria.com.

HOW PERSONAL INFORMATION IS COLLECTED:

When making a reservation:
When booking a stay with Casas na Ferraria, the Guest is required to provide their full name, email address, and to complete a booking form tailored to the nature of their visit. This ensures only relevant information is collected by Casas na Ferraria.

For guests visiting on vacation, we request for information, including place of residence, number of adults and children, interest in additional experiences such as catering (including dietary restrictions), and any other information that may help us create a comfortable and personalized experience.

For facilitators organizing retreats, we ask for more detailed information to assist in assessing the suitability and logistics of hosting the group. This includes, age, contact details, a website or summary of their work, the type of retreat they wish to host, the reasoning behind their interest in our space, estimated group size and other specific details needed for the stay.

All information collected is used solely for the purpose of evaluating and managing each reservation, and to ensure that the stay aligns with the atmosphere and values of our space. By submitting a reservation request, the Guest acknowledges and accepts the terms of our data handling practices, as outlined in our Privacy Policy.

During the Stay
Throughout the Guest’s stay, Casas na Ferraria may collect and process certain additional information to ensure the quality, comfort, and safety of the experience.

This may include service-related data such as catering preferences, participation in activities, or other requests made during the stay. We may also record specific guest preferences or needs (for example, dietary notes, environmental sensitivities, or wellness-related requests), which help us provide personalized service and may be retained for future visits, subject to the guest’s consent. This information may be shared with Casas na Ferraria’s employees.

In the case of retreat stays organized by facilitators, and only with prior agreement, we may also collect limited photo, audio, or video content for internal reference or communication purposes. No such materials will be recorded or shared without the express knowledge and permission of the facilitator or participants involved.

HOW WE STORE PERSONAL INFORMATION

Casas na Ferraria stores personal information in a secure location, be it a database or filing cabinet. Furthermore, measures are taken to ensure that only designated individuals have access to this information.

WHAT PERSONAL INFORMATION MAY BE PROVIDED TO THIRD PARTIES

Agents, contractors or third-party service providers of Casas na Ferraria (such as catering teams, wellness professionals, or retreat facilitators) may receive the Guest’s personal information while providing services to Casas na Ferraria itself, so that Casas na Ferraria can respond more effectively to the Guest's needs. Using contractual or other arrangements, Casas na Ferraria ensures these parties protect any personal information in a manner consistent with the principles articulated in this Privacy Policy. Guest’s personal information will only be shared without his consent, outside Casas na Ferraria services, where: (1) it is required or authorized by law to do so (for example, in response to a legal subpoena); (2) it is required to provide the Guest with services requested by him, in which case it will be considered to have implied consent (e.g. car rental); (3) if the stay has been paid for by a third party (billing information will be provided to the paying party). If Casas na Ferraria suspects any unlawful activity is taking place, it may investigate and/or report its findings or suspicions to the police or other relevant law enforcement agency.

RETENTION TIME FOR PERSONAL INFORMATION

Personal information will be stored for the maximum period allowed by law. According to the GDPR, the applicable retention periods depend on the nature of the data collected. Periodically, and if the Guest has not stayed in any of the houses for a certain period, personal information may be deleted.
